How to Make an Invoice in Thailand (VAT 7% & WHT)

To make an invoice in Thailand, open Invoice Maker, pick Invoice (or Quotation, Receipt, Tax invoice), fill in your details, the customer and the items, switch on VAT and choose any withholding tax. The totals, VAT, Net payable and the amount in Thai words are calculated for you — press Print / Save PDF when it looks right.

It is free, has no sign-up and works in any browser. Documents can be in Thai, English or both, with your logo. Your draft is kept in your own browser rather than on a server, so client details stay with you.

Step by step

  1. 1Choose the document and languageOpen Invoice Maker and pick Invoice, Quotation, Receipt or Tax invoice. Then choose the printed language: ไทย, EN or ไทย + EN.
  2. 2Fill in the document detailsCheck the Number (it starts as INV-, QT-, RC- or TAX- plus the year), the Issue date and the Due date — or Valid until for a quotation. Pick the Currency and add your Logo if you have one.
  3. 3Add your details and the customer'sUnder From (you) and Bill to (customer), enter the name or company, address, 13-digit Tax ID, Branch (leave it empty for head office) and phone or email. The tool flags a tax ID whose check digit looks wrong.
  4. 4List the itemsFor each line, type a Description, Qty, Unit price and an optional Discount. Use Add item for more lines and the arrows to reorder them.
  5. 5Set VAT and withholding taxIn Tax & totals, switch VAT on and choose Add VAT on top or Prices include VAT (the rate defaults to 7%). Pick a Withholding tax rate if your customer will deduct one, and add any Special discount.
  6. 6Preview and save as PDFSwitch to Preview to see the A4 page, then press Print / Save PDF and choose “Save as PDF” in the print dialog to get a PDF file.

Which document do you need?

The four document types follow the usual order of a Thai sale:

  • Quotation (ใบเสนอราคา) — the price before work starts, with a “valid until” date and a space for the customer to accept.
  • Invoice (ใบแจ้งหนี้) — asks for payment by a due date; in Thai offices this is the document used for วางบิล.
  • Receipt (ใบเสร็จรับเงิน) — confirms you have been paid.
  • Tax invoice (ใบกำกับภาษี) — the VAT document that only a VAT-registered business may issue.

Tip: Press New to start the next document: your own seller details, logo and payment details are kept.

How VAT 7% works on an invoice

Thailand's standard VAT rate is 7%. With Add VAT on top, a ฿10,000 job becomes ฿10,700: ฿10,000 value plus ฿700 VAT. With Prices include VAT, a ฿10,700 price is split back into ฿10,000 value and ฿700 VAT, and the document notes that prices include VAT.

Only businesses registered for VAT can charge it and issue tax invoices. If you are not registered, simply switch VAT off. Registration becomes compulsory once yearly revenue passes ฿1.8 million — your accountant can confirm whether it applies to you.

Withholding tax (หัก ณ ที่จ่าย) explained

When your customer is a company, it usually withholds part of each payment as tax and gives you a withholding tax certificate (50 Tawi), which you later count against your own income tax. The tool offers the common rates: 1% — transport, 2% — advertising, 3% — services and 5% — rent / prizes.

Withholding is worked out on the value before VAT. For a ฿10,000 service with VAT: ฿10,700 grand total, minus 3% of ฿10,000 (฿300), gives a Net payable of ฿10,400. Not sure which rate applies? Ask the customer's accounts team or your accountant.

Details a tax invoice should show

A full tax invoice generally needs the words “ใบกำกับภาษี”, the seller's name, address and tax ID, the buyer's name and address (plus tax ID and branch for business buyers), a document number, the date, the items with their value, and the VAT amount shown separately.

Invoice Maker has a field for each of these, including Branch (printed as head office when left empty), and it marks the copy as the original. Requirements can change, so have an accountant check your first tax invoice.

Questions people ask

Do I need to be VAT-registered to issue an invoice?
No. Anyone in business can issue an invoice, quotation or receipt. Only VAT-registered businesses may charge VAT and issue a tax invoice, so turn the VAT switch off if you are not registered.
Is withholding tax calculated before or after VAT?
Before VAT. The tool takes the withholding rate from the value before VAT, then subtracts it from the grand total to give the net payable.
Can I make a bilingual Thai–English invoice?
Yes. Choose ไทย + EN and the title, column headings and totals print in both Thai and English. Amounts in THB also show the total in Thai words, such as “หนึ่งหมื่นบาทถ้วน”, plus the English wording.
